Firm: Global Financial Services Firm

Location: Midtown NYC

Permanent Base Salary: $150,000–$175,000

Must have experience with private aviation and crew coordination support.

Overview

A global investment organization is seeking an experienced Executive Travel Manager to support its C-Suite team. This is a highly visible, hands-on role for a travel professional who thrives in fast-paced, high-touch environments and understands the nuances of executive-level service.

The Travel Manager will own end-to-end travel strategy and execution, partnering closely with the support team and external vendors to ensure seamless domestic and international travel. Success in this role requires exceptional attention to detail, discretion, adaptability, and the ability to anticipate needs before they arise.

Key Responsibilities

  • Oversee all aspects of domestic and international travel for the CEO and select senior leaders, including private aviation and commercial flights
  • Design detailed, end-to-end itineraries that account for preferences, logistics, security considerations, and contingency planning
  • Coordinate ground transportation, accommodations, visas, documentation, and special travel requirements
  • Monitor global travel conditions and proactively mitigate risks related to weather, health, or geopolitical issues
  • Respond quickly and calmly to last-minute changes, disruptions, or urgent requests
  • Partner with aviation providers and flight crews to align schedules and operational needs
  • Track flight-related expenses and support accurate reporting and reconciliation
  • Serve as a central point of communication across aviation vendors, crews, and internal stakeholders
  • Build trusted relationships with airlines, charter operators, hotels, security providers, and travel partners
  • Negotiate preferred rates, upgrades, and service enhancements where possible
  • Evaluate vendor performance to ensure consistently high service standards
  • Support internal and external events requiring travel coordination or guest logistics
  • Track travel-related budgets and expenses with a high degree of accuracy
  • Partner with finance and accounting teams on invoicing and reconciliation
  • Identify efficiencies without compromising experience or quality
  • Act as a primary contact during travel, including evenings or emergencies as needed
  • Provide real-time problem solving while maintaining discretion and professionalism
  • Travel may be required periodically (no travel expected during the first ~3 months; up to ~1x/month thereafter)
  • Handle sensitive personal and business information with absolute discretion
  • Represent the organization with professionalism and sound judgment at all times

Ideal Background

  • 5–8 years of experience in luxury or executive travel management, private aviation, hospitality, or private family office environments
  • Demonstrated success managing complex, high-volume, and last-minute travel for senior executives
  • Strong understanding of international travel logistics, documentation, and compliance
  • Comfortable working in fast-moving environments with shifting priorities
  • Highly organized, detail-oriented, and service-driven
  • Calm under pressure, receptive to feedback, and collaborative by nature
  • Flexible with hours and availability as business needs dictate
